1. Introduction & Overview
OnePerix Technologies ("OnePerix", "we", "us", or "our") is dedicated to safeguarding the privacy and security of your personal data and enterprise records. This Privacy Policy explains how we collect, process, disclose, and protect information when you use our business operating platform, web applications, mobile apps, and developer APIs.
2. Controller vs. Processor Distinction
OnePerix as a Data Controller: We act as a Data Controller for account registration details, direct billing relationships, support requests, and website visitor analytics.
OnePerix as a Data Processor: For all business information entered into the ERP by our customers (such as payroll, inventory items, vendor contacts, and tenant logs), our customer (the Tenant) is the Data Controller, and OnePerix acts solely as the Data Processor acting on the customer's instructions.
3. Information We Collect
- Account & Profile Information: Name, work email address, phone number, company name, and encrypted credentials.
- Billing Information: Business registration numbers (GSTIN/PAN), tax details, and transaction histories (payment card details are processed directly by certified PCI-DSS payment gateways).
- Usage & Device Telemetry: Log files, IP address, browser type, device identifiers, and audit trails of user operations within the ERP.
- Mobile Permissions & Sensor Data:
- Precise Location: Collected only at the moment a user captures or submits an operational proof photo (e.g., fuel entry geocoding, meter reading verification, equipment maintenance). Location data is strictly accessed in the foreground while the feature is in use; OnePerix does not track or record location in the background or continuously.
- Camera & Photos: The camera is used to capture live proof photos of fuel fills, vehicle meters, work orders, and maintenance activity, stamped with date, time, and vehicle context. Access to the photo library is requested only when you choose to attach existing invoices, receipts, or documentation.
4. How We Use Information
We process collected data to:
- Provision, maintain, and enhance the OnePerix platform and multi-tenant infrastructure;
- Authenticate users and enforce strict Role-Based Access Control (RBAC);
- Process billing cycles and manage module subscriptions;
- Maintain immutable audit logs for enterprise compliance and security monitoring;
- Provide responsive technical support and system notifications.
No Sale or Third-Party Tracking: We do not sell, rent, or trade your personal information. We do not track you across third-party websites or mobile apps, nor do we disclose user data to data brokers or advertising networks.
5. Sub-processors & Third-Party Service Providers
We partner with trusted cloud service providers to power our platform infrastructure. All sub-processors are bound by strict Data Protection Agreements:
- Cloud Hosting & DB: Amazon Web Services (AWS) / Supabase (PostgreSQL) / Vercel
- Proof & Document Storage: Cloudflare R2 / AWS S3 (encrypted object storage for proof photos and attachments)
- Payment Processing: Razorpay / Stripe
- Transactional Email: Resend / SendGrid
6. Data Security Measures
We enforce enterprise-grade security protocols, including:
- End-to-end encryption in transit (TLS 1.3) and at rest (AES-256);
- Database logical isolation with strict tenant-scoping across all queries;
- Automated daily encrypted backups and disaster recovery runbooks.
7. Your Rights, Account Deletion & Data Requests
Depending on your jurisdiction (such as India's Digital Personal Data Protection Act 2023 or the EU GDPR), you have the right to request access to, correction of, or erasure of your personal data.
Account & Data Deletion: Enterprise users whose accounts are provisioned by an organization can request account deactivation or deletion through their organization administrator, or by emailing our Data Protection team directly. We process verified account and data deletion requests within 30 days.
